A STRUCTURED APPROACH TO PROJECT MANAGEMENT

Define the Requirements:
The scope of project management within an organization must be aligned to the strategy and achievement of the business objectives. Process Assessment ensures that customer investment in project management focuses on priority areas, and that each project management discipline is addressed. Through evaluation of an organization's existing project management practices, AIT consultants can define target objectives, and provide detailed recommendations for improving identified "performance gaps". Plan The Approach:
Effective planning of the project management implementation ensures that both the business requirements and implementation timescales are formally agreed upon and documented. Using the Implementation Planning Workshop (IPW), AIT consultants bring the project team together to review the implementation objectives, scope of work, and critical success factors. Through the IPW, roles and responsibilities from both an organizational and an individual perspective are established for the team, all assumptions and acceptance criteria defined, and known milestones, deliverables and timeframes are agreed upon. These are subsequently integrated into a documented implementation plan.

Map the Systems to the Organization:
Critical to the success of the project management software implementation is a detailed review of how the system will integrate the business's project environment. The Product Introduction Workshop (PIW) combines a review of project management theory with an introduction to the software functionality, thereby identifying any specific system and process-related issues that need to be addressed. The PIW prepares the team for the Application Design Review (ADR) which defines the roles, processes and data standards associated with the system. Additionally, the system architecture and configuration are determined, including any custom software requirements. Extension Development enables customization of the system to match the specific needs of the organization.

Pilot in a Controlled Environment:
The Pilot phase takes the implementation team through a full project reporting cycle, and serves to validate the configuration and procedures while ensuring effective knowledge transfer through hands-on training. During the pilot, Role-based Training and Documentation is initiated in preparation for roll-out. Several aspects of the project management environment have to be considered; the organization, the roles and responsibilities, the standards and procedures, and the software. All of these areas are integrated into focused training courses that address the identified roles in the organization.

Roll-Out to the Organization:
Based on the validation and fine-tuning of the pilot, the implementation can now be extended to incorporate other projects, and deployed across the entire organization. This phase involves User Training, and on-site assistance during critical phases of roll-out, with the option of establishing a Project Office environment to provide on-going project support. Installation Services provide on-site configuration and system set-up by qualified technical consultants, and ensure the application is operational and tuned to the customer's technical environment.
